KCP NA - Update Existing Data

When logging in, you may be asked to do an OKTA Push. Make sure you click 'Do not challenge me on this device again' and message Tom to approve the push:

Defining the product catalogue for Shelf Conscious


2 Product Filters will need to be applied before Exporting the Catalogue, they are as follows:


Client Facing Status -> Active, In-Process, Ready for sell-in

Target Market -> United States

Exporting the product catalogue from ePIM

Select batch options -> Export -> Apply to all Results

Uncheck 'Include Obsolete Products'

Uncheck 'Include Corporate Products'

Select Export Content -> Data

Click Export

Cleansing the ePIM export file

We have agreed to only include products with product content in Shelf Conscious, so we can remove all codes that do not have a Long Title. So filter 'Long Title' in the ePIM file to include only blanks and then delete those rows from the file. We're now left only with products that have product information.

We also need to check for duplicates and make sure we only use information for the "Current" version of the product.

Select relevant client account

on 'Products' page, select 'Bulk Update Products' and 'Download Products'

Identifying NEW Products

Open a new spreadsheet to use for your working file and copy the full list of 'Order SKUs' from the ePIM file. Complete a lookup to the Shelf Conscious file, anything returning an error means the code is not in the Shelf Conscious file and will need to be added.

We __cannot __load these codes using the Update export, these need to be added using the 'Bulk Add New Products' Template. As such, for now we need to ringfence these codes for later.

Identifying Products to be DELETED & Deleting them

We need to identify any codes that are in the Shelf Conscious file but are NOT in the ePIM file. This will indicate any codes that are obsolete and do not need to be in Shelf Conscious any more.

To achieve this, run a lookup from the SC MPNs to the ePIM MPNs. Anything in the SC list that is not found in the ePIM list can be deleted (do some spot checks in ePIM to validate). To delete, populate the 'Delete Product' column in the SC file and upload.

It makes sense for us to run the process of deleting products at this stage, before we update the product information for the remaining products.

IMPORTANT: RUN THE PROCESS TO DELETE CODES AND THEN RE-DOWNLOAD THE UPDATE FILE TO COMPLETE THE DATA UPDATES. THIS IS THE EASIEST APPROACH.


Updating Product Information in Shelf Conscious

You may remember that the biggest difference between the two files we're working with is that the ePIM file contains one row of data per product, whereas our SC file contains one row of data per product pack size. This makes the update process a little more complicated as there are different actions to take depending on the product pack size. There are multiple approaches to getting this data updated, so you may have a preferred method to the one I'm taking.

Here's the steps I to take to update product data:

1) Re-download the bulk update file, check codes have been deleted

2) Ensuring we have an up to date list of attributes in Shelf Conscious

3) Adding rows to the ePIM file to replicate the number of pack size variations

4) Copying data over

5) Populating our content source of truth with pack size variations taken into account

For Cases we use the epim title, for all other pack sizes we use our title as it has been amended to reflect the correct quantity.
